A fax connection will only be provided in justified exceptional cases if external constraints make this necessary and sending by fax is permissible from a data protection perspective. The consent of the data protection officer must be obtained for this.
The data protection officer advises using encrypted communication with third parties via secure mail service or end-to-end encryption of e-mails S/MIME (DFN-PKI).
The internal mail service (official faxes) of the central mailroom (ZPS) can be used for receiving or sending fax documents in exceptional cases.
Situation:
In the age of analog and ISDN telephone technology, the fax service was compatible with data protection and information security, as end-to-end security was guaranteed via the dedicated telephone channel. Fax was the state of the art and was particularly popular because it was a simple way of confirming receipt of the message. The increasing digitalization and shared use of the IP network for telecommunications (voice service and fax), both in the provider and company environment, make the fax service a problematic service in terms of security today.
The Information Security department has therefore been advising for some time to use encrypted communication with third parties via the Secure Mail service or end-to-end encryption of e-mails S/MIME (DFN-PKI).
The scan function of the rental printers/copiers available via the Central Administration can be used for this purpose.
